Safeguarding Personal Data for the Property Sector1. Introduction
TPG Connect Ltd (“TPG”, “We”, “Us”, “Our”) is unwavering in its commitment to upholding the privacy and rights of individuals and organisations connected with the property industry. In an era where data is both an asset and a responsibility, we recognise the importance of managing personal information transparently, lawfully, and securely. Our practices are fully aligned with the obligations set out by the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This Data Protection Notice serves as a cornerstone of our privacy commitment. It outlines how we collect, use, protect, and manage personal data, applying to all landlords, housing associations, property investors, and professional associates who engage with TPG’s tenant-first brokerage services. Our aim is to provide you with clear information about your rights, our responsibilities, and the ways in which your data is handled.
2. Personal Data We Collect
To facilitate our services and maintain regulatory compliance, TPG Connect Ltd collects and processes a range of personal data from various contact types within the property sector:
Landlord – Individual or Company: We collect data such as name, address, contact details, property address, ownership documentation, rental history, financial information, and compliance records (including Energy Performance Certificates (EPC), Houses in Multiple Occupation (HMO) licences, and Anti-Money Laundering (AML) documentation). This information enables us to verify ownership, broker property listings, satisfy legal obligations, and facilitate payments efficiently and lawfully.
Social Housing Provider – Business: For our social housing provider partners, we gather company name, registration number, contact details, portfolio-related documentation, and service preferences. This data is essential for us to assess service requirements, broker suitable opportunities, and ensure our operations maintain the highest standards of compliance integrity.
Professional Associate: For other professionals we work with, we record company name, contact name, contact details, and information about services provided or required. This enables smooth service coordination and effective business communication.
All data is collected with a clear and lawful purpose, ensuring that only relevant and necessary information is gathered for the fulfilment of our contractual and legal obligations.
3. Legal Basis for Processing
Our data processing activities are always underpinned by one or more of the following lawful bases as outlined in the UK GDPR:
Performance of a contract: Processing is necessary to deliver contracted brokerage and property management services.
Compliance with a legal obligation: We must process certain data to satisfy legal requirements, for example, anti-money laundering checks or landlord registration obligations.
Legitimate interests: Sometimes, processing is necessary for our own legitimate interests or those of our clients, provided such interests are not overridden by your rights and freedoms.
Consent: In specific circumstances, we may request your consent to process your personal data—for example, for marketing communications. Where consent is the basis, you have the right to withdraw it at any time.
4. Data Protection Measures
At TPG Connect Ltd, the security of your data is paramount. We employ robust technical and organisational measures to safeguard personal data, including:
Encrypted and Password-Protected Electronic Storage: All digital records are stored on encrypted platforms with stringent password protocols, ensuring unauthorised access is prevented.
Locked and Fireproof Safes: Physical documents containing sensitive information are secured in locked, fireproof safes when not in use.
Controlled Access Protocols: Access to personal data is strictly limited to authorised personnel based on job requirements. Regular audits ensure compliance with these controls.
Staff Awareness and Training: All staff undergo regular training on GDPR responsibilities and are made aware of the importance of data privacy and confidentiality.
These measures are continually reviewed and updated to address evolving threats and ensure ongoing compliance with best practices.
5. Data Retention
We retain personal data for only as long as is necessary for the purposes for which it was collected, in accordance with legal, regulatory, and operational requirements. Our typical retention periods include:
Client data for legal or financial compliance: Retained for up to 7 years after the end of a client relationship in line with statutory record-keeping obligations.
Marketing consents: Retained until you opt out or withdraw your consent, allowing you to control the information you receive from us.
Other operational data: Retained as specified in our full privacy policy, which can be requested for further detail.
Data that is no longer required is securely deleted or destroyed in accordance with our data retention procedures.

If, in the future, such transfers become necessary (for example, as a result of working with overseas partners or cloud service providers), we will ensure that appropriate safeguards are implemented. This may include the use of standard contractual clauses or verifying the adequacy of the data protection standards in the recipient country.
